1.  General notes for ordering marketing materials

The global dispatch service for print materials is our way of ensuring you are provided with initial marketing literature wherever you’re based. Dispatch of these essential print materials is normally free of charge for you. Please allow approx. seven days for processing and delivery of your order from the date of order placement.

Large order quantities and specific payable items are subject to separate guidelines, which will be explained in this document. For cost reasons, when ordering large quantities such as for major marketing campaigns, we recommend using a local printing service in your country.

 

2. Shipping and invoice addresses    

 Before ordering, you have to add your preferred shipping address(es) and invoice address(es) in your Profile settings. 

 

3.  Contact details, ordering party

If possible, please log your contact details in full in your user account before placing your first order via the online shop and ensure they are always up to date (this applies in particular to a phone number we can use to contact you). These details will automatically be shared with the logistics company every time you place an order, thus helping us ensure a smooth delivery. For example, the logistics company could need your phone number in case of any customs issues.

 

4.  Order quantity

The minimum order quantity for an item is defined by the term “unit.” For brochures, a unit normally comprises 20 items; in the case of some items, the quantity may vary. Each unit (i.e. minimum order quantity) is listed in the item view in the shop.

 

Maximum order quantities apply to each item; these must not be exceeded when placing orders via the online shop.

If multiple orders for the same item are placed in quick succession, the ordering party can be subsequently invoiced – see Chapter 5.

Justified exceptions for exceeding the maximum order quantity must be authorized by MED. In this case, please send us a message via the contact form on the shop.

 

5.  Maximum order value

In the MED marketing web shop, the maximum order value has been set at €400 and consists of the payable dispatch and handling costs. These depend on the quantity and weight of the requested items and are determined by the fulfilment partner during order processing. Our many years of experience have taught us that orders are normally below this limit value.

 

6.  Greater materials needs

If the maximum order value is exceeded or an above-average number of orders is placed, ZEISS headquarters will receive notification from its logistics partner, and will then check the orders and make a decision about how to proceed. In justified cases, we will contact you to clarify who will assume the delivery costs at your organization.

As previously mentioned, for large print runs – i.e. more than 500 units per material per year – we recommend using a local printing service. We would be happy to provide you with further details. The ZEISS printing guidelines can be accessed at all times on the MED Communications Wiki.

 

7.  Standard and express delivery

Standard delivery is free of charge and is normally handled within seven days.

Please note: Additional costs for express deliveries made within Europe shall be borne by the recipient. They shall be charged to the recipient prior to delivery.

To qualify for express deliveries, orders must be placed by 10 a.m. CET (Central European Time) so that the goods can be dispatched from the warehouse on the same day. If you need express delivery, please send us a message via the contact form on the shop.

 

8.  Tracking number

For deliveries outside Germany, the logistics partner shall provide the ordering party with a tracking number for their order. It will be sent to the user via email as soon as the goods have been dispatched.

 

9.  Ordering payable items

Print materials for health care professionals are normally provided free of charge. If prices apply for other materials, such as for patient materials MED-specific giveaways or special prints, this shall be indicated on the relevant order pages. In these cases, in addition to the item and shipping costs, the ordering party shall also bear the low packaging costs and any overseas bank transfer fees.

A value added tax identification number is needed to process European orders. It must be provided by the ordering party when placing the order, during the checkout process.

The order is handled as follows:

  • The item costs can be seen in the marketing web shop when selecting products, and are shown on the order.
  • Logistics company Neru is entitled to invoice the ordering party for the costs prior to delivery, and dispatch the goods only once payment has been received. The ordering party’s value added tax identification number is needed to do so.
  • Payable items are therefore normally dispatched separately, even if they were ordered together with brochures.
  • The ordering party must transfer the invoiced amount to the account indicated within 14 days, otherwise the order will be canceled.
     

10.  Customs regulations for ordering party country

The dispatch of goods may be subject to additional customs charges. Those placing orders outside of Europe should therefore find out about specific customs regulations for their country before placing their first order via the shop and enter a note to that effect in the checkout process.

 

11.  Summary: possible special requirements

So please note: Special requirements that should be indicated during order placement to ensure the ordering process goes smoothly may include:

·         Office telephone number or cell phone number of the ordering party or another recipient

·         Explanation of upcoming events/shows and therefore requests for larger order quantities

·         Request for express delivery

·         Value added tax identification number for shipments of payable items to European countries

·         Information on specific customs and/or tax regulations
